Job Description
Branch tasks
- The main task of the branches is to rent cars in an efficient way whereby strictly adhering to
the service guidelines. - A branch manager who usually reports to the operations manager will
supervise at least two rental sales agents which are working in shifts (depending
on the opening hours) to serve the customers. Larger rental locations will
have a branch supervisor who assists the station manager in addition.
Cleaners and drivers.
Everybody in the branch except for cleaners and drivers will work on the same daily tasks which are explained below:
Fleet management
- Fleet planning for the own branch office by checking number of reservations, requested vehicle groups and available cars / cars to be returned
Fleet planning for high and low seasons (stop sell, on request)
Report cars for sale to the headquarters
Follow fleet managers instructions for car repairs and maintenance
Daily Operations
- Create reservations
- Create rental agreements
- Coordinate deliveries and collections
- Monitor of “open” rental agreements, cars to be returned
- Take care of long-term / monthly rentals
- Daily fleet check
- Close rental agreements / producing invoices (if not handled centrally by HQ)
Customer service / sales
- Create offers
- Take care of customer’s problems, requests, etc.
- Advise customers (vehicle types, GPS systems, prices, terms & conditions, etc.)
- Handle customer complaints
- Support customer acquisition by advising customers of corporate programs, loyalty
programs - Collaborate with headquarter sales management (collect leads)
- Sell insurances, up-sells, and additional extras
Branch organization
- Make sure everything is clean and tidy
- Adhere to the individual operational procedures of the country / branch
- Attend to the corporate identity
Vehicle management
- Take care vehicles are clean and all equipment is in the car
- Manage deliveries / collections proper and in time
- Make sure vehicles are checked carefully for damages, missing parts, fuel level
Human Resources Management (in particular for Branch Manager)
- Communicate new information or procedures to the team.
- Organize and plan effective staff attendance (shift plan).
- Select personnel according to Company requirements
- Show leadership, motivate branch employees, define branch and individual targets, identify “high potentials”
Controlling (in particular for Branch Manager)
- Monitor KPI’s, e.g., utilization, check-outs / employee, RPD’s, incremental sales, costs per turnaround, etc.
- Monitor competition in the area (check pricing)
- Plan the budget for the branch in coordination with HQ, financial management
- Handle cashbox, check and sign invoices (if not handled centrally via the HQ)
