Job Description
Core Dispatch Management:
- Oversee and manage the daily dispatch operations, ensuring efficient and timely movement of goods.
- Supervise and coordinate the activities of dispatchers and drivers, ensuring clear communication and effective workflow.
- Monitor and track all active loads, proactively addressing any issues or delays to ensure on-time delivery and customer satisfaction.
- Optimize truck utilization and routing to maximize efficiency, minimize costs (e.g., fuel, deadhead miles), and ensure consistent revenue flow.
- Ensure all load-related data, driver updates, and communications are accurately and promptly recorded in the Transportation Management System (TMS) in real-time.
Strategic Planning and Alignment:
- Align dispatch operations and targets with financial goals set by the CFO to maintain operational profitability and control cost per mile.
- Develop and implement strategies to improve dispatch efficiency, reduce errors, and enhance overall service quality.
- Analyze market trends, industry regulations, and broker behavior to anticipate challenges and develop proactive solutions.
- Develop and implement strategies to remove the company from Do Not Use (DNU) lists and re-establish/strengthen relationships with key brokers and load providers.
Driver and Team Management:
- Manage and optimize driver schedules, including approving and coordinating vacation or time-off requests while ensuring uninterrupted fleet operations.
- Monitor driver performance, identify areas for improvement, and provide coaching and support to underperforming drivers to enhance efficiency, compliance, and customer satisfaction.
- Foster a positive, team-oriented environment within the dispatch department, promoting collaboration, accountability, and high performance.
- Conduct regular team meetings and training sessions to ensure dispatchers are aligned with company expectations, TMS usage standards, customer service goals, and industry best practices.
Communication and Relationship Management:
- Serve as the primary point of contact between brokers, drivers, and dispatchers, facilitating seamless communication and coordination across departments.
- Build and maintain strong relationships with key brokers, load providers, and other stakeholders.
- Effectively communicate with customers to provide updates, address concerns, and ensure satisfaction.
Performance Monitoring and Improvement:
- Monitor key performance indicators (KPIs).
- Analyze KPI data to identify trends, track progress, and drive continuous improvement in dispatch operations.
- Troubleshoot and resolve operational issues, including delayed loads, breakdowns, or customer disputes, in a timely and professional manner.
- Continuously assess and improve dispatch workflows, processes, and procedures to enhance team productivity, service quality, and cost-effectiveness.
Cross-Functional Collaboration:
- Work closely with the Safety, Repairs, Permits, and HR departments to ensure smooth coordination and alignment with operational policies and procedures.
- Collaborate with other departments to optimize overall company operations and achieve business objectives.
Job Requirements
- Minimum of 3-5 years of experience in logistics, transportation, or dispatch operations, with at least 2 years in a supervisory or managerial role.
- Proven experience with Transportation Management Systems (TMS) is required. Experience with [Specific TMS Software Name, if applicable] is preferred. Strong understanding of routing software and load boards.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook), with advanced Excel skills (e.g., pivot tables, VLOOKUP) strongly preferred. Experience with ELD (Electronic Logging Device) systems and other relevant logistics technologies.
- Excellent decision-making and problem-solving skills, with the ability to act quickly and effectively in high-pressure situations.
- Demonstrated assertiveness, leadership, and the ability to take initiative with confidence, including experience in conflict resolution and performance management.
- High accuracy in data entry and attention to detail in maintaining system records.
- Strong software navigation skills and the ability to quickly learn new platforms.
- Proficient in interpreting and navigating maps, load boards, and route planning tools.
- Exceptional organizational and time-management skills, with a proven ability to manage shifting priorities, delegate tasks effectively, and meet deadlines in a fast-paced environment.
- Outstanding written and verbal communication skills to facilitate clear and professional interaction with brokers, drivers, and internal teams.
- Bachelor’s degree in Supply Chain Management, Logistics, Business Administration, or a related field is preferred; equivalent work experience in a relevant role will also be considered.
- Ability to lead and motivate a team, resolve conflicts, and build a productive work environment.
- Thorough understanding of U.S. freight market practices, time zones, and terminology is preferred.
- Ability to work a flexible schedule, including night shifts, weekends, and holidays, and to respond effectively to urgent situations and irregular hours.
