Job Description
Core Responsibilities:
- Provide comprehensive administrative support to executive leadership, including calendar management, travel arrangements, and meeting coordination.
- Act as a primary point of contact between executives and internal/external stakeholders, ensuring timely and effective communication.
- Prepare, review, and edit fundraising material, correspondence, reports, presentations, and other documents as needed.
- Manage confidential information with discretion and maintain a high level of professionalism at all times.
- Coordinate and schedule meetings, conferences, and events, ensuring all logistics are handled efficiently.
Supporting Responsibilities:
- Assist with project management tasks, tracking deadlines, deliverables, and follow-ups to ensure objectives are met.
- Conduct research and compile data to support executive decision-making processes.
- Handle expense reports, invoices, and budget tracking for executive offices.
- Support onboarding and orientation processes for new team members reporting to executives.
- Continuously identify opportunities to improve administrative processes and enhance executive productivity.
Job Requirements
- Minimum of 3 years of experience as an Executive Assistant or in a similar administrative role.
- Proven ability to work independently and remotely, managing multiple priorities in a fast-paced environment.
- Exceptional organizational and time management skills with keen attention to detail.
- Strong written and verbal communication skills.
- Demonstrated discretion in handling sensitive and confidential information.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and virtual collaboration tools (e.g., Zoom, Slack).
- Ability to anticipate needs and proactively solve problems.
- Experience supporting executive-level management.
- Strong interpersonal skills and the ability to build relationships across all levels of the organization.
- Flexibility to adapt to changing priorities and business needs.
