Job Description

We are seeking a highly organized and proactive Senior Office Secretary with 10+ years of experience to provide high-level administrative support to executives and ensure smooth office operations. The ideal candidate will be a master of multitasking, possess exceptional communication skills, and have a proven track record of improving office efficiency.

Key Responsibilities


1. Executive Support
Manage complex calendars, scheduling, and travel arrangements for senior leadership.

Prepare and edit reports, presentations, and confidential documents.

Act as the primary point of contact for internal and external stakeholders.

2. Office Management
Supervise front desk operations, mail, and office supplies.

Coordinate meetings, conferences, and corporate events (in-person/virtual).

Maintain filing systems (digital and physical) and ensure data security.

3. Communication & Coordination
Draft professional emails, memos, and announcements.

Liaise between departments, clients, and vendors.

Answer and direct phone calls with a polished, professional demeanor.

4. Process Improvement
Identify and implement efficiency upgrades (e.g., digital tools, workflow automation).

Ensure compliance with company policies and procedures.

 

 

 

Job Requirements

Qualifications & Skills
✅ Required Experience
10+ years in office administration, executive assistance, or secretarial roles.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

✅ Preferred Skills

Multilingual abilities.

✅ Soft Skills
Discretion (handling sensitive information).

Problem-solving and anticipating needs.

Leadership in guiding junior staff.
