Job Description
The Executive Secretary provides high-level administrative support to senior executives, ensuring efficient operation of the office. This role involves managing schedules, handling confidential correspondence, organizing meetings, and performing a variety of clerical and administrative tasks with a high level of professionalism and discretion.
- Manage and maintain executives’ schedules, including appointments, meetings, and travel arrangements.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Organize and coordinate meetings, conferences, and special events.
- Handle confidential information with integrity and discretion.
- Screen and direct incoming calls and emails; respond to inquiries when appropriate.
- Maintain filing systems, databases, and records management systems.
- Liaise with internal departments and external parties on behalf of executives.
- Prepare agendas, take minutes, and track follow-up items from meetings.
- Perform general office duties such as ordering supplies, managing mail, and maintaining office equipment.
- Monitor, prioritize, and respond to incoming communications.
Job Requirements
- Bachelor’s degree in business administration, Office Management, or related field (preferred).
- Proven experience as an Executive Secretary, Executive Assistant, or similar role.
- Excellent written and verbal communication skills, with strong organizational and time-management skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multitask and prioritize tasks effectively with high level of discretion and confidentiality.
