Job Description
- Organize and manage the meeting schedule with clients, including arranging appointments and follow-ups.
- Prepare and send online meeting invitations to clients, coordinate logistics, and ensure attendance.
- Attend meetings, take accurate minutes (MoM), and distribute them to all concerned parties.
- Conduct internal follow-up with all departments to ensure completion of action points.
- Coordinate with clients regarding follow-ups, updates, and clarifications on key matters.
- Draft and respond to professional emails in excellent English.
- Create and format reports, letters, and professional documents using Word and Excel.
- Prepare visually appealing presentations using PowerPoint.
- Use CRM systems to log client interactions and track communications and follow-up actions.
- Remind relevant stakeholders of upcoming deadlines, deliverables, and meetings.
- Act as a liaison between internal departments and external clients to ensure seamless communication.
- Submit weekly follow-up reports and updates to management.
Job Requirements
Required Skills:
- Excellent written and spoken English.
- Strong computer skills and proficiency in Microsoft Office (Word, Excel, PowerPoint).
- Experience with CRM systems.
- Excellent time management and organizational skills.
- Strong internal and external communication skills.
- Attention to detail and high level of accuracy.
Qualifications:
- Bachelor's degree in Business Administration or a related field is preferred.
- Minimum 2-3 years of experience in executive assistant or administrative coordination roles.
- Ability to multitask and work under pressure.
