Job Description
- The Executive assistant provides high-level administrative and operational support to senior management, Executive Team. This role is critical in managing executive schedules, coordinating communications, handling confidential information, and facilitating internal and external engagements to ensure organizational efficiency.
Key Responsibilities:
- Calendar & Schedule Management:
Manage complex calendars, appointments, meetings, and travel arrangements for executives. - Communication Coordination:
Draft, proofread, and manage emails, internal memos, meeting agendas, and executive-level correspondence. - Meeting Preparation & Follow-up:
Organize executive meetings, prepare presentations, take minutes, and ensure follow-up on action points. - Document Management:
Maintain organized filing systems (digital and physical), ensure document confidentiality, and support administrative workflows. - Executive Support:
Act as a liaison between executives and internal departments, clients, and partners; screen and prioritize communications. - Event & Logistics Coordination:
Support in planning executive events, board meetings, and external engagements including conferences or VIP visits. - Office & Resource Management:
Coordinate with HR, IT, and procurement for executive office needs, equipment, and administrative tasks. - Reporting & Data Tracking:
Compile reports, dashboards, and executive summaries as needed for operational and strategic use.
Job Requirements
- Bachelor's degree in business administration, English, Communications, or a related field.
- 3–6 years of experience in administrative support.
- Expert in MS Office (Word, Excel, Outlook, PowerPoint) and collaboration tools (e.g., Zoom, Teams).
- Excellent written and verbal communication skills in English and Arabic.
- Strong organizational, time-management, and multitasking skills.
- Professional appearance and behavior with a proactive attitude.
- Good knowledge of systems such as (ERP, SAP, Oracle, or Odoo). Is preferable.
