Job Description

Core Responsibilities:

  • Provide comprehensive administrative support to executive leadership, including calendar management, travel arrangements, and meeting coordination.
  • Act as a primary point of contact between executives and internal/external stakeholders, ensuring timely and effective communication.
  • Prepare, review, and edit fundraising material, correspondence, reports, presentations, and other documents as needed.
  • Manage confidential information with discretion and maintain a high level of professionalism at all times.
  • Coordinate and schedule meetings, conferences, and events, ensuring all logistics are handled efficiently.

Supporting Responsibilities:

  • Assist with project management tasks, tracking deadlines, deliverables, and follow-ups to ensure objectives are met.
  • Conduct research and compile data to support executive decision-making processes.
  • Handle expense reports, invoices, and budget tracking for executive offices.
  • Support onboarding and orientation processes for new team members reporting to executives.
  • Continuously identify opportunities to improve administrative processes and enhance executive productivity.

Job Requirements

  • Minimum of 3 years of experience as an Executive Assistant or in a similar administrative role.
  • Proven ability to work independently and remotely, managing multiple priorities in a fast-paced environment.
  • Exceptional organizational and time management skills with keen attention to detail.
  • Strong written and verbal communication skills.
  • Demonstrated discretion in handling sensitive and confidential information.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and virtual collaboration tools (e.g., Zoom, Slack).
  • Ability to anticipate needs and proactively solve problems.
  • Experience supporting executive-level management.
  • Strong interpersonal skills and the ability to build relationships across all levels of the organization.
  • Flexibility to adapt to changing priorities and business needs.
