Job Description
Serve as the primary point of contact between the business owner and internal/external stakeholders
- Manage complex diaries and calendars for both personal and professional schedules
- Coordinate end-to-end travel arrangements including international itineraries, visas, logistics, and accommodations
- Oversee wardrobe management, gifting, and personal event planning
- Collaborate with accountants for expense tracking, receipts, and invoice management
- Triage emails, messaging apps, and phone calls; draft and send professional communications
- Prepare door-to-door business travel briefings and adapt to last-minute changes
- Create professional reports, slide decks, spreadsheets, and summaries
- Liaise with vendors and manage office and household supplies, room bookings, and brand communications
- Compile daily approvals and task summaries to support quick decision-making
- Support light marketing tasks: coordinate with brand team on content scheduling, captions, and updates
- Assist with basic design and copywriting tasks under guidance
Job Requirements
- Demonstrated experience as a Personal or Executive Assistant
- Strong diary, calendar, and travel coordination skills
- Proficiency in MS Office and cloud-based tools (e.g., Google Workspace, Notion, Trello)
- Excellent verbal and written communication skills
- High level of discretion, confidentiality, and emotional intelligence
- Ability to prioritise tasks, work independently, and handle fast-changing environments
- Strong organisational and time management abilities
- Confidence in liaising with accountants, vendors, and creative teams
- Familiarity with basic social media tools and content scheduling platforms (e.g., Buffer, Hootsuite)
- A PA diploma or certification is a plus
