Role Summary
We are seeking a highly organized and proactive Personal Assistant to support our Chief Executive Officer in daily administrative and personal tasks. The role requires excellent communication, coordination, and organizational skills to effectively manage the CEO’s calendar, communications, travel, and meetings. This is a vital role that ensures the CEO’s time is maximized and operations run smoothly.
Key Responsibilities
Calendar & Schedule Management
- Maintain and organize the CEO’s daily schedule, appointments, and meetings
- Coordinate internal and external meetings across departments
- Set priorities and manage scheduling conflicts efficiently
Communication & Correspondence
- Handle incoming calls, emails, and messages on behalf of the CEO
- Direct correspondence to appropriate parties and ensure timely responses
- Serve as the main point of contact between the CEO and internal/external stakeholders
Travel & Logistics Coordination
- Organize travel arrangements including flights, accommodations, and meeting venues
- Prepare detailed travel itineraries and handle last-minute changes when needed
Documentation & Reporting
- Draft, format, and edit reports, presentations, and official correspondence
- Take meeting minutes, prepare summaries, and follow up on action items
- Manage the filing system, both digital and physical, ensuring easy document retrieval
Office & Resource Management
- Source and manage office supplies and administrative resources
- Maintain an up-to-date inventory and ensure smooth office operations
- Support in organizing company events or executive-level engagements
Liaison & Relationship Management
- Act as a trusted liaison between the CEO and staff, clients, or partners
- Handle confidential information with integrity and discretion
- Ensure smooth communication flow across departments involving the CEO
Job Requirements
Qualifications & Requirements
- Bachelor's degree in Business Administration, Management, or a related field
- Minimum 3–5 years of proven experience as a Personal or Executive Assistant
- Strong command of Microsoft Office Suite and business communication tools
- Excellent organizational and time management skills
- Professional fluency in English, both written and spoken
- High level of discretion and confidentiality
- Strong interpersonal skills with the ability to communicate at all organizational levels
- Ability to manage multiple priorities and work under pressure
- Good understanding of business etiquette and formal communication protocols
- Experience in real estate, investment, or similar industries is an advantage
- Willingness and flexibility to travel within Egypt and internationally as required
