Job Summary:
Stage Systems is seeking a highly organized and experienced Bid Manager to oversee and manage the entire tender process. The successful candidate will be responsible for leading the bid team, coordinating with multiple stakeholders, and ensuring timely, high-quality submission of proposals that align with company standards. This role involves managing all aspects of the tender process, from reviewing tender requirements to submitting winning bids, while working closely with the presales team and other departments.
Key Responsibilities:
Tender Management:
- Lead and manage the entire bid process, ensuring adherence to deadlines and tender requirements.
- Review tender documents, assess feasibility, and develop a winning strategy.
- Coordinate with internal teams, including presales, sales, technical, and finance, to gather all necessary inputs.
- Ensure compliance with all legal, technical, and financial requirements of each tender.
Bid Preparation:
- Develop comprehensive bid proposals, including technical, commercial, and financial aspects.
- Draft compelling, accurate, and well-structured responses that align with client needs and company offerings.
- Manage document formatting, proofreading, and submission in line with client specifications.
Collaboration:
- Liaise with key stakeholders across the company to ensure all bid components are accurately represented.
- Work closely with the presales manager to refine and present proposals that enhance the company’s competitive edge.
- Maintain relationships with key suppliers, partners, and subcontractors to gather relevant bid information.
Risk & Strategy:
- Identify risks related to each bid and develop strategies to mitigate them.
- Conduct post-bid reviews to assess success factors and areas for improvement.
- Monitor market trends and competitor bids to enhance future bid strategies.
Documentation & Compliance:
- Maintain an organized database of all bid-related documents, templates, and records.
- Ensure that all bids comply with relevant company policies, laws, and regulations.
- Oversee the completion of administrative tasks related to tender submissions, such as ensuring financial securities and guarantees.
Job Requirements
Required Skills and Qualifications:
- Bachelor’s degree in Business, Engineering, or a related field.
- Proven experience as a Bid Manager or in a similar role, with a track record of successful tenders.
- Strong understanding of tender processes, documentation, and submission requirements.
- Excellent project management skills, with the ability to handle multiple tenders simultaneously.
- Exceptional written and verbal communication skills, including proposal writing.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and bid management software/tools.
- Strong attention to detail, analytical thinking, and problem-solving skills
- Ability to work under pressure, meet tight deadlines, and adapt to changing priorities.
Preferred Qualifications:
- Previous experience in handling large-scale tenders across industries like construction, IT, or services.
- Understanding of legal and financial implications related to contracts and tenders.
- Experience working in collaboration with presales or technical teams.
