Job Description
The CEO Personal Assistant (PA) provides high-level administrative support to the Chief Executive Officer by managing schedules, communications, meetings, travel, and confidential information. The PA ensures smooth coordination between the CEO and internal/external stakeholders, enabling the CEO to focus on strategic leadership and decision-making.
Key Responsibilities
Executive Support
Manage the CEO’s calendar, scheduling meetings, appointments, and events.
Handle correspondence (emails, calls, letters) and respond on behalf of the CEO when required.
Prepare meeting agendas, minutes, presentations, and briefing materials.
Track action points from meetings and ensure timely follow-ups.
Administrative Duties
Organize and coordinate business travel, visas, hotels, and transport arrangements.
Maintain filing systems (digital and physical) for confidential documents.
Process expenses, reports, and approvals on behalf of the CEO.
Communication & Liaison
Act as the primary point of contact between the CEO and internal teams, clients, and stakeholders.
Draft high-quality reports, letters, and communication materials.
Ensure confidentiality and discretion in handling sensitive business and personal information.
Project & Office Management
Assist in monitoring strategic projects and provide progress updates.
Support preparation of board meetings, investor meetings, and executive sessions.
Handle ad-hoc personal tasks as required (personal appointments, family-related arrangements, etc.).
Job Requirements
Education & Experience
Bachelor’s degree in Business Administration, Management, or a related field (preferred).
Proven experience (3–5 years) as an Executive Assistant, Personal Assistant, or similar role, ideally supporting C-level executives.
Skills & Competencies
Excellent organizational and multitasking skills.
Strong written and verbal communication (English and Arabic if relevant).
Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (Zoom, Teams).
High level of professionalism, confidentiality, and discretion.
Strong problem-solving skills and ability to work under pressure.
Flexibility to handle urgent matters outside of normal working hours.
