Job Description
The CEO Office Manager plays a crucial role in supporting the CEO and ensuring the efficient operation of the executive office. This position requires exceptional organizational skills, a proactive attitude, and the ability to manage multiple priorities in a fast-paced environment.
Job Requirements
Key Responsibilities:
- Administrative Support: Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and handling correspondence.
- Communication: Serve as a primary point of contact for internal and external stakeholders, ensuring effective communication on behalf of the CEO.
- Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, and follow-up notes. Attend meetings and take minutes as needed.
- Project Management: Assist with special projects and initiatives as assigned, tracking progress and ensuring timely completion.
- Office Management: Oversee the daily operations of the executive office, including maintaining supplies, managing office equipment, and coordinating with vendors.
- Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
- Event Planning: Organize and coordinate events, both internal and external, such as board meetings, retreats, and team-building activities.
- Budget Management: Assist in monitoring and managing the office budget, tracking expenses, and ensuring adherence to financial guidelines.
- Team Collaboration: Work closely with other team members and departments to support overall company goals and initiatives.
Qualifications:
- Bachelor’s degree in business administration, management, or a related field (preferred).
- Proven experience as an office manager, executive assistant, or in a similar role supporting senior management.
- Strong organizational and multitasking skills with a keen attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to work independently and collaboratively in a team environment.
- Discretion and professionalism in handling sensitive information.
