Based in Downtown Cairo, the Company represents a portfolio of leading international companies. We are now seeking to recruit an Executive Secretary with a very broad skill-set.
Candidate:
You will have 15+ years of secretarial, management and business support experience, with excellent liaison abilities and solid IT skills (we will be testing you!). An energetic, switched-on candidate with keen economic awareness and strong attention to detail is especially desirable.
Your role will include:
- Daily liaison with directors and department managers, completing tasks as directed
- Managment of team (receptionist, janitors, security, etc)
- Overhaul & maintenance of filing system (ensuring clear & accurate records across all business areas)
- Production of spreadsheets, documents and reports (Word, Excel, PowerPoint)
- Liaison with lawyers, suppliers, government/customs officials, etc.
- Overseeing all contracts & ensuring timely renewals
- Creating, checking & filing accountancy spreadsheets
- Office management (suppliers, cleaners, stationery, safety, maintenance)
- Assistance with recruitment (office staff, engineers)
- Property management (including utilities, maintenance, safety & rents)
- Research & feedback
- Assisting with and/or attending business trade shows and events
- Assisting employees and associates when required.
Job Requirements
Required:
- Female aged 35-55
- At least 15 years of senior secretarial experience across a variety of different industries (for example: property / legal / energy / accountancy / finance / engineering … )
- Advanced IT skills including email, printing, scanning, Word, Excel + ideally PowerPoint (we will test these skills as part of the recruitment process!)
- Mother-tongue Arabic + excellent spoken and written English
- In-depth understanding of office management and daily operations
- Economic awareness and tenacity, plus the confidence to make suggestions and spot errors
- Team player with excellent people management skills
- Superb record-keeping, organisation and planning skills, with excellent attention to detail
- Integrity, loyalty and personal strength
- Responses to our screening questions.
The preferred candidate will also be able to demonstrate the following:
- Good understanding of accountancy (with experience of creating / editing spreadsheets)
- Experience of checking contracts and liasing with lawyers
- Knowledge of property leases & retail
- Project management skills
