Job Description
Key Responsibilities:
Team Supervision & Workflow Management:
- Lead and supervise the back-office team, ensuring efficient distribution of tasks and responsibilities.
- Develop and implement weekly/monthly action plans and review schedules for student records verification.
- Monitor team performance, provide coaching and ensure alignment with institutional objectives
Student Records Management:
- Ensure all student data is accurately entered, updated, and maintained in the university’s Student Affairs Management System (SAMS) and Banner system.
- Oversee the verification process for conditionally accepted students, ensuring all required documents are submitted, followed up, and officially approved.
- Approve the issuance of academic documents (certificates, transcripts, etc.) after ensuring completeness and accuracy.
Compliance & Coordination:
- Ensure all student files and documentation comply with internal policies and governmental regulations.
- Monitor circulars and decisions issued by the Ministry of Higher Education and Supreme Council of Universities, and communicate relevant updates to the team.
- Coordinate with the university’s representatives at the Ministry and Supreme Council to fulfill student-related procedures in a timely manner.
Interdepartmental Coordination:
- Liaise with the Front Office team to resolve student issues and ensure seamless workflow between departments.
- Act as a point of contact between Student Affairs and other university departments for all back-office matters.
Service Quality Assurance:
- Monitor service delivery timelines and ensure students receive requested documents without delay.
- Identify and implement opportunities for process improvement and automation.
- Handle escalated cases or exceptions that require intervention or urgent resolution.
- Reporting & Documentation:
- Generate and review periodic reports related to student records, pending requests, compliance status, and process performance.
- Ensure secure, organized storage (both physical and digital) of all official student records.
Job Requirements
Technical Skills:
- Proficiency in university administrative systems (e.g., Banner or equivalent).
- Advanced computer skills, especially in Microsoft Excel and document preparation.
- High accuracy and attention to detail in data processing and reporting.
- Strong organizational, follow-up, and communication skills.
- Knowledge of academic policies, graduation procedures, and syndicate requirements.
Experience
- Maximum of 7-10 years of experience in student affairs, or academic administration, preferably in a higher education setting.
Educational Qualifications
- Bachelor’s degree in business administration, Education, Information Management, or a related field.
