Job Description

Key Responsibilities:

Executive Secretary Duties:

  • Manage and coordinate the executive’s calendar, meetings, and travel arrangements.
  • Prepare reports, presentations, and correspondence on behalf of senior management.
  • Handle confidential information with discretion.
  • Act as a liaison between the executive and internal/external stakeholders.
  • Maintain and organize files, documents, and records for easy retrieval.

Office Management Duties:

  • Oversee daily office operations, ensuring an efficient and organized workplace.
  • Manage office supplies, equipment, and facilities.
  • Coordinate with vendors, service providers, and building management.
  • Ensure compliance with health, safety, and security regulations in the office.

HR Duties:

  • Assist in recruitment, onboarding, and offboarding processes.
  • Maintain employee records and ensure HR compliance.
  • Support performance management, training, and employee engagement initiatives.
  • Address employee queries related to HR policies and benefits.
  • Coordinate payroll and attendance records in collaboration with finance.

Administrative Duties:

  • Handle correspondence, emails, and calls professionally.
  • Support event planning, corporate meetings, and team activities.
  • Maintain records, contracts, and administrative documents.
  • Develop and implement administrative procedures to optimize efficiency.
     

Job Requirements

Qualifications & Skills:

  • Bachelor's degree in Business Administration, Human Resources, or a related field.
  • Proven experience in executive support, office management, HR, and administration.
  • Excellent organizational and multitasking skills.
  • Strong communication and interpersonal abilities.
  • High level of confidentiality and professionalism.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and handle multiple responsibilities effectively.
  • Work Environment & Conditions:
  • Office-based role with occasional remote work flexibility.
  • Interaction with executives, employees, and external stakeholders.
