Key Responsibilities:
Executive Secretary Duties:
- Manage and coordinate the executive’s calendar, meetings, and travel arrangements.
- Prepare reports, presentations, and correspondence on behalf of senior management.
- Handle confidential information with discretion.
- Act as a liaison between the executive and internal/external stakeholders.
- Maintain and organize files, documents, and records for easy retrieval.
Office Management Duties:
- Oversee daily office operations, ensuring an efficient and organized workplace.
- Manage office supplies, equipment, and facilities.
- Coordinate with vendors, service providers, and building management.
- Ensure compliance with health, safety, and security regulations in the office.
HR Duties:
- Assist in recruitment, onboarding, and offboarding processes.
- Maintain employee records and ensure HR compliance.
- Support performance management, training, and employee engagement initiatives.
- Address employee queries related to HR policies and benefits.
- Coordinate payroll and attendance records in collaboration with finance.
Administrative Duties:
- Handle correspondence, emails, and calls professionally.
- Support event planning, corporate meetings, and team activities.
- Maintain records, contracts, and administrative documents.
- Develop and implement administrative procedures to optimize efficiency.
Job Requirements
Qualifications & Skills:
- Bachelor's degree in Business Administration, Human Resources, or a related field.
- Proven experience in executive support, office management, HR, and administration.
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal abilities.
- High level of confidentiality and professionalism.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and handle multiple responsibilities effectively.
