Job Description
- Daily liaison with directors and department managers, completing tasks as directed
- Managment of team .
- Overhaul & maintenance of filing system (ensuring clear & accurate records across all business areas)
- Production of spreadsheets, documents and reports (Word, Excel, PowerPoint)
- Liaison with lawyers, suppliers, government/customs officials, etc.
- Overseeing all contracts & ensuring timely renewals
- Creating, checking & filing accountancy spreadsheets
- Office management (suppliers, cleaners, stationery, safety, maintenance)
- Assistance with recruitment (office staff, engineers)
- Property management (including utilities, maintenance, safety & rents)
- Manage and maintain executives’ schedules, including appointments, meetings, and travel arrangements
- Draft, edit, and proofread emails, reports, and other business communications
- Assisting with and/or attending business trade shows and events
- Assisting employees and associates when required.
Job Requirements
- Proven work experience as a Secretary or Administrative Assistant
- Familiarity with office organization and optimization techniques
- native spoken & written English (meeting , emails, phone) + native Arabic
- Excellent written and verbal communication skills
- Integrity and professionalism
- Proficient in Microsoft Excel, Word, Outlook,Power Point and general email correspondence
- Highly organized with strong attention to detail
- Ability to multitask and prioritize effectively
- Flexible and adaptable to changing priorities and tasks
- Professional demeanor and ability to maintain confidentiality
- Familiarity with project management tools or platforms
- Time management or organizational certification (a plus)
