Job Description

  • Plan and coordinate administrative procedures and systems and devise ways to streamline processes.
  • Recruit and train personnel and allocate responsibilities and office space.
  • Assess staff performance and provide coaching and guidance to ensure maximum efficiency.
  • Ensure the smooth and adequate flow of information within the company to facilitate other business operations.
  • Manage schedules and deadlines.
  • Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
  • Monitor costs and expenses to assist in budget preparation, of his section. 
  • Oversee facilities services, maintenance activities and tradespersons (electricians..etc.).
  • Organize and supervise other office activities (recycling, renovations, event planning etc.).
  • Ensure operations adhere to policies and regulations.
  • Keep abreast with all organizational changes and business developments.
  • Purchasing vehicles to expand and/or enhance the fleet.
  • Scheduling regular maintenance on all vehicles.
  • Ordering urgent or emergency repairs as needed.
  • Establishing efficient routes and transportation schedules.
  • Coordinating Drivers and on-staff maintenance professionals when setting employee schedules.
  • Managing vehicle licensure and registration.
  • Ensuring all fleet members have proper licensure and up-to-date training.
  • Monitoring Drivers to ensure adherence to schedules and proper driving practices
  • Searching for, hiring and training new Drivers.
  • Providing reports to management on budgeting, schedules, maintenance and fleet progress.
  • Developing methods to decrease cost and improve efficiency.

Job Requirements

  • BSc/BA in business administration or relative field
  • Proven experience as Administration & Fleet Supervisor (min. 5 - 7 years)
  • In-depth understanding of office management procedures and departmental and legal policies
  • Familiarity with financial and facilities management principles
  • Proficient in MS Office, ODOO software is an advantage
  • An analytical mind with problem-solving skills
  • Excellent organizational and multitasking abilities
  • A team player with strong leadership skills.
  • Company location : New Cairo - Cairo residents is a must.
