We are looking for An Office Manager to perform a variety of administrative tasks and support our company’s CEO.
To be successful in this role, you should be well-organized, self-motivated and have great time management skills and be able to act without guidance (Proactive Personality).
The goal is to contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried on timely and efficiently.
Your Responsibilities will be as follows:
- Maintain GM’s agenda and assist in planning appointments, board meetings, conferences etc.
- Attend meetings and keep minutes
- Multitasking and time-management skills, with the ability to prioritize tasks
- Solid written and verbal communication skills
- greeting visitors, helping them navigate through an office, and supplying them with refreshments as they wait.
- Ability to be resourceful and proactive when issues arise
- Handle and prioritize all outgoing or incoming correspondence (Calls, e-mail, letters, packages etc.)
- Make travel arrangements for executives
- Handle confidential documents ensuring they remain secure
- Track stocks of office supplies and place orders when necessary.
- Maintain electronic and paper records ensuring information is organized and easily accessible
- Conduct research and prepare presentations or reports as assigned
- Supervise facility staff and divide responsibilities to ensure performance
- Maintain the office condition and arrange necessary repairs
- Assist colleagues whenever necessary
- Performing any other tasks within the work scope as assigned
- Proven working experience in same role
- Proficient in MS Office and “back-office” software (e.g. ERP)
- Familiarity with basic research methods and reporting techniques
- Excellent organizational and time-management skills
- Outstanding communication and negotiation abilities
- Degree in business administration or relative field
