Job Description
- The Executive Office Manager provides comprehensive administrative and secretarial support to the Vice Chairman of the Board, ensuring the smooth and efficient operation of the office. The role involves managing communications, coordinating high-level meetings with internal and external stakeholders, and maintaining the highest standards of professionalism, confidentiality, and organization
Key Responsibilities
- Manage and oversee all administrative and secretarial duties within the Vice Chairman’s office
- Maintain and organize the Vice Chairman’s calendar, appointments, and business commitments
- Arrange, coordinate, and attend meetings with senior executives, VIP guests, and external partners
- Prepare, review, and translate correspondence, reports, and official documents in both Arabic and English with high accuracy
- Professionally manage the Vice Chairman’s email, drafting responses, and following up on pending matters.
- Develop and maintain an organized filing and documentation system ensuring confidentiality at all times
- Serve as the primary point of contact between the Vice Chairman’s office and internal/external stakeholders
- Carry out additional assignments or special tasks as directed by the Vice Chairman
Job Requirements
- Bachelor’s degree in business administration, Languages, or related field
- Fluency in both Arabic and English (spoken and written) is essential
- Minimum of 5 years’ proven experience in executive secretarial or office management roles
- Strong proficiency in Microsoft Office Suite and professional email communication
- Excellent organizational and time management skills with the ability to handle multiple priorities
- Professional appearance and strong interpersonal skills to interact with senior executives and VIPs
- High level of discretion, integrity, and attention to detail
- Flexibility to accommodate changing schedules and urgent requirements
