Job Description
We are a small Islamic organisation offering Arabic and Quran programmes, and we are looking for a highly organised and proactive Online Programmes Coordinator to manage the day-to-day operations of our online classes. This role involves scheduling Arabic and Quran classes and teachers, overseeing student enrolment and onboarding, supporting both students and staff with technical and administrative matters, and ensuring smooth communication across the department while upholding Islamic values in all interactions.
As a small organisation, we value team members who are flexible and enjoy supporting different projects and tasks beyond their primary role. The successful candidate will also contribute as a General Project Assistant, helping where needed across the organisation.
Key Responsibilities:
- Manage timetables, class schedules, exams, and bookings.
- Monitor student attendance, punctuality, and withdrawals.
- Liaise with teachers and students regarding level placements and timetable updates.
- Oversee staff work hours and assist with salary calculations.
- Provide technical support and help manage online platforms (Microsoft Teams, Zoom).
- Support students with enrolment, onboarding, and general queries.
- Ensure teachers complete attendance, grading, and feedback on time.
- Assist with onboarding teachers and resolving their technical issues.
- Collaborate on academic content development and social media outreach.
- Provide occasional support to other departments and help cover absent staff if required.
Additional Notes:
The role may involve supporting in-person programme administration remotely and other duties as needed to meet operational requirements.
Full-time: 8 hours daily (including 1-hour daily break), 6 days; (timing semi-flexible based on operational needs)
Job Requirements
Essential requirements
- Female
- Educated to degree level or holding equivalent professional qualifications
- Experience of working efficiently in an administrative environment
- Experience of providing good customer service
- Experience using software confidently such as Microsoft Office, Google Suite and Microsoft Teams
- High standard of verbal and written communication in English and Arabic
- Experience dealing with foreigners
- Excellent communication skills in Arabic and English - communicating important information promptly, clearly and thoughtfully to management and students.
- Working with integrity and treating the organisation’s projects as their own, with an eye for being cost-efficient without compromising on quality as much as possible. Working in the interests of the organisation.
