Job Description

Overview:

MENA INTEL is seeking a highly capable and experienced Operations and Office Manager to support the Managing Director in running and scaling the business. This individual will serve as the second-in-command and be responsible for overseeing the day-to-day performance of Operations department: Business Research, and Project Administration. The role requires a hands-on leader with a proven track record in operations management, team leadership, and internal process optimization. 

Key Responsibilities: 

  1. Oversee and coordinate the daily operations department, ensuring efficient workflow, quality control, and timely task completion. 
  2. Act as the primary point of contact and decision-maker in the absence of the Managing Director. 
  3. Work with team members and external agents to gather and analyze information related to tasks and projects.
  4. Ensure calls are prepared to meet task and project expectations, avoiding the need for multiple calls to the same source.
  5. Support the CEO to ensure alignment with company goals and operational standards. Monitor ongoing projects, delegate tasks where necessary, and ensure all deliverables are met within deadline and scope. 
  6. Lead regular check-ins with teams to assess performance, address issues, and track progress. Review internal reports and project outputs to maintain high quality and accuracy. 
  7. Participate in internal hiring processes, staff KPIs evaluations, and collaboration with the HR department on-it. 
  8. Ensure the team adheres to company policies and procedures at all times.
  9. Identify inefficiencies or bottlenecks in workflows and suggest or implement improvements. Maintain and enforce internal procedures, protocols, and projects deadlines .

Job Requirements

  • Minimum 5–7 years of experience in operations, administration, Office Manager, or team management, preferably within a consultancy, research, or professional services environment. 
  • Strong leadership and organizational skills, with the ability to manage multiple teams and priorities at once. 
  • Excellent communication and interpersonal skills. 
  • Exceptional English language skills—both written and spoken—are a must. 
  • Proficiency in coordinating remote teams and familiarity with internal platforms such as Trello, CRMs, or other workflow tools is preferred. 
  • Reliable, discreet, and capable of acting with sound judgment on behalf of senior management.
