Job Description

Job Title: Executive Administrative Assistant
Job Type: Full-Time
Location: Remote and Onsite (Hybrid) - Preferred candidates from Nasr City or nearby locations, or those who can easily commute

Experience Level: 5+ years of experience as an Executive Administrative Assistant.

Closing Date: Last date to apply is December 31, 2024.

We are a UAE-based company in Dubai, seeking an Executive Administrative Assistant to join our team.

In this role, the Executive Administrative Assistant will be responsible for providing high-level administrative support, managing schedules, coordinating meetings, and assisting with daily operations.

Job Description:

  • Act as the point of contact between the executives and internal/external clients
  • Undertake the tasks of receiving calls, take messages and routing correspondence
  • Handle requests and queries appropriately
  • Maintain diary, arrange meetings and appointments and provide reminders
  • Make travel arrangements
  • Take dictation and minutes and accurately enter data
  • Monitor office supplies and research advantageous deals or suppliers
  • Produce reports, presentations and briefs
  • Develop and carry out an efficient documentation and filing system

Work Environment:

  • Collaborate in both remote and onsite settings, ensuring seamless coordination with all stakeholders.
  • Use leading remote platforms and communication tools to maintain efficiency.

Location Preference: Candidates from Nasr City or nearby areas who can easily commute are preferred

Job Requirements

  • Proven experience as an Executive Administrative Assistant, Senior Executive Assistant or in other secretarial position
  • Experienced within supply chain, web services, web development services, HR and Recruiting, and general admin.
  • Full comprehension of office management systems and procedures
  • Excellent knowledge of MS Office
  • Proficiency in English
  • Exemplary planning and time management skills
  • Up-to-date with advancements in office gadgets and applications
  • Ability to multitask and prioritize daily workload
  • High level verbal and written communications skills
  • Discretion and confidentiality
  • High School degree; additional qualification as personal assistant would be considered an advantage
