Job Description
- Liaise directly with various external parties, including the Investment Authority, Burj El Arab Authority, Social Insurance Office, Labor Office, Health Insurance, Ministry of Interior, Industrial Development Authority, Supply Authority, Defence Authority, etc.
- Supervise legal cases and affairs and collaborate with external legal counsel as necessary.
- Write and revise various contracts (companies, customers, employees). Organize and draft documents for general assemblies (Ordinary General Assembly, Extraordinary General Assembly).
- Monitor expiration dates and handle renewal of factory licenses (Commercial Registry, Industrial Registry Card, Import Certificate, Export Certificate, Taxation Card, Operational License, Stores Licenses, etc.).
- Manage processes related to foreigners' licenses and visas in collaboration with relevant departments.
- Follow up on social insurance matters and ensure timely health insurance registration for employees.
- Ensure compliance with labor office regulations and procedures.
- Ensuring proper maintenance of different company and staff facilities and maintaining operational stock for running these facilities.
- Oversee and ensure the security of office facilities and assets.
- Maintain and update company records, databases, and filing systems as well as ensuring confidentiality and security of data.
- Monitor and adjust transportation routes to achieve optimal usage and efficiency.
- Handle dealings with car insurance companies. Manage and process expenses related to car operations.
- Manage and resolve legal disputes and issues including those with defaulting customers to ensure that credit due is paid.
- Provide guidance on legal implications of business decisions regarding company policies and procedures.
- Identify and assess legal risks and provide risk mitigation strategies in relation to different business activities as well as legal implications of any new business ventures.
Job Requirements
- A bachelor’s degree in Law, or a related field.
- Minimum of 10 years of experience in administration roles, with a strong understanding of legal and regulatory requirements. Proven experience in managing administrative tasks and dealing with governmental and non-governmental entities.
- Very good command of English.
- Excellent organizational and multitasking abilities. Strong written and verbal communication skills in both Arabic and English. Ability to handle confidential and sensitive information with integrity. Strong attention to detail and problem-solving skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Ability to work in dynamic and challenging environments. Resilience in dealing with stressful situations.
