Job Description

We are looking for An Executive Secretary to perform a variety of administrative tasks and support our company’s CEO.

To be successful in this role, you should be well-organised, self-motivated and have great time management skills and be able to act without guidance (Proactive Personality).

The goal is to contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried on timely and efficiently.

Your Responsibilities will be as follows:

● Answer and direct phone calls

● Organise and schedule appointments

● Plan meetings and take detailed minutes

● Write and distribute email, correspondence memos, letters, faxes and forms

● Assist in the preparation of regularly scheduled reports

● Develop and maintain a filing system

● Update and maintain office policies and procedures

● Order office supplies and research new deals and suppliers

● Maintain contact lists

● Book travel arrangements

● Submit and reconcile expense reports

● Provide general support to visitors

● Act as the point of contact for internal and external clients

● Liaise with executive and senior administrative assistants to handle requests and queries from senior managers

Job Requirements

Job Requirements

  • Proven working experience in same role
  • Proficient in MS Office and “back-office” software (e.g. ERP)
  • Familiarity with basic research methods and reporting techniques
  • Excellent organizational and time-management skills
  • Outstanding communication and negotiation abilities
  • Degree in business administration or relative field
