Role Overview
The Executive Assistant will provide high-level administrative, operational, and strategic support to the CEO. This role requires exceptional organizational skills, discretion, and the ability to manage complex schedules, communications, and relationships with global stakeholders. The ideal candidate is proactive, detail-oriented, and able to thrive in a fast-paced, mission-driven environment.
Key Responsibilities
Administrative & Scheduling
- Manage CEO’s calendar, coordinate meetings, and ensure timely follow-ups.
- Arrange domestic and international travel, logistics, and accommodations.
- Maintain confidentiality while handling sensitive information.
Communication & Correspondence
- Draft, edit, and proofread professional emails, letters, and reports.
- Liaise with speaker bureaus, clients, partners, and internal team members.
- Track and prioritize incoming requests to ensure timely responses.
Operations & Project Support
- Assist with event preparation, contracts, invoicing, and documentation.
- Maintain records and track deliverables for speaking engagements, retreats, and consulting projects.
- Coordinate across teams (marketing, finance, interns, contractors) to support ongoing initiatives.
Outreach & Relationship Management
- Support outreach efforts with universities, corporations, and global organizations.
- Maintain CRM and contact lists, ensuring accurate and updated data.
- Help prepare pitch decks, bios, and speaker materials.

Job Requirements
- 2-3 years of experience in an executive or administrative assistant role, preferably supporting senior leadership.
- Proven ability to manage multiple tasks and priorities in a fast-paced, remote work environment.
- Exceptional organizational and time management skills with keen attention to detail.
- Strong written and verbal communication abilities.
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (e.g., Zoom, Slack, Google Workspace).
- Ability to handle confidential information with discretion and professionalism.
- Self-motivated, proactive, and able to work independently with minimal supervision.
- Excellent interpersonal skills and the ability to build relationships across diverse teams.
- Strong problem-solving skills and adaptability to changing priorities.
- Availability to work flexible hours as needed to support executive schedules.
