Job Description

  • Administrative Management:
    • Manage the CEO’s calendar, schedule meetings, and organize appointments to maximize productivity.
    • Handle and prioritize correspondence, including emails, calls, and letters.
    • Maintain an efficient documentation and filing system.
  • Communication and Coordination:
    • Act as the primary point of contact between the CEO and internal/external stakeholders.
    • Represent the CEO in meetings and events when necessary.
    • Facilitate internal communication by distributing information and preparing presentations.
  • Travel and Logistics:
    • Arrange complex travel itineraries, including flights, accommodations, and visas.
    • Prepare travel expense reports and ensure timely reconciliation.
  • Strategic Support:
    • Conduct research and prepare reports for strategic initiatives and board meetings.
    • Take accurate meeting minutes and ensure follow-up on actionable items.
    • Suggest process improvements to enhance office efficiency.

Job Requirements

  • Proven experience as an Executive Assistant, Senior Executive Assistant, or similar role (2–5 years).
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with tools like TrelloSlack, or similar platforms.
  • Outstanding organizational and time-management skills.
  • Strong verbal and written communication skills in Arabic & English (French is a plus).
  • High level of discretion, confidentiality, and professionalism.
  • Ability to multitask, prioritize workloads, and meet tight deadlines.
  • Familiarity with remote work tools (e.g., Zoom, Google Workspace) and office equipment.
  • Preferred: A degree in Business Administration or a related field; additional qualifications as a Personal Assistant or Secretary are a plus.
