Job Description
- Manage and control the flow of project documents (electronic and hard copies) between departments, clients, and contractors.
- Maintain an organized filing system (both digital and physical) ensuring easy retrieval and secure storage.
- Ensure that all incoming and outgoing documents are reviewed, properly filed, and distributed to relevant parties.
- Register and track documents, drawings, transmittals, correspondence, and reports using document control systems or software.
- Prepare document templates and standardize formatting and numbering according to company or project guidelines.
- Monitor document timelines to ensure submission deadlines are met and highlight delays to relevant teams.
- Archive project documentation at project closeout in accordance with company procedures and audit requirements.
- Coordinate with engineering, planning, and quality teams to ensure documentation is up to date and accurately reflects the latest revisions.
- Support project audits and quality checks by providing the necessary documentation as required.
Job Requirements
- Bachelor’s degree or diploma in Business Administration, Engineering, or a related field.
- 1–3 years of experience in a document control or administrative support role within a construction, engineering, or industrial environment.
- Proficient in Microsoft Office (especially Word and Excel); experience with EDMS or DMS platforms is an advantage.
- Excellent attention to detail and time management skills.
