Job Description
1. Administrative Support
Assist the HR Manager in preparing reports, presentations, and correspondence
Maintain calendars, schedule meetings, and organize interviews and HR events
Draft HR-related documents such as offer letters, warnings, confirmations, and memos
2. Recruitment & Onboarding
Coordinate job postings and initial screening of applicants
Schedule interviews and maintain candidate records
Support onboarding processes including document collection, induction scheduling, and orientation logistics
3. Employee Records & Documentation
Maintain and update employee records both digitally and in physical files
Track probation periods, contract expirations, and other key dates
Ensure confidentiality and compliance in all HR documentation and data handling
4. HR Policy & Compliance
Assist in the implementation and communication of HR policies and procedures
Help ensure HR activities comply with labor laws and internal policies
Support internal audits and maintain updated HR policy files
5. Employee Engagement & Relations
Act as a first point of contact for employee inquiries and escalate as necessary
Assist in organizing employee engagement activities, surveys, and training sessions
Help resolve minor employee concerns or direct them to the appropriate party
6. Payroll & Attendance Support (Optional, if applicable)
Track leave balances, absences, and overtime reports
Coordinate with payroll to ensure accurate data submission and approvals
Job Requirements
Qualifications:
Bachelor’s degree in Human Resource Management, Business Administration, or related field
1–3 years of relevant HR administrative or assistant experience preferred
Familiarity with HR systems, databases, and tools (e.g., HRIS, MS Office)
Basic knowledge of labor laws and HR best practices
Strong organizational skills and attention to detail
Excellent written and verbal communication skills
Discretion and confidentiality are essential
