Job Description

Zewail City's University of Science, Technology and Innovation is is seeking a highly qualified and experienced Office Manager to lead and oversee the operations of the University President’s Office. The Office Manager will serve as the central point of coordination, ensuring smooth communication, effective workflow, and efficient execution of the President’s priorities. This role requires a professional with exceptional organizational, administrative, and leadership skills to manage a dynamic and fast-paced environment.

 

Key Responsibilities:

  • Manage and oversee the day-to-day operations of the President’s Office.
  • Act as the primary point of contact between the UST President and internal/external stakeholders.
  • Draft, review, and manage correspondence, reports, and official communications.
  • Prepare agendas, minutes, and follow-ups for high-level meetings.
  • Track and monitor the progress of key projects, initiatives, and presidential commitments.
  • Supervise office personnel, delegate tasks effectively, and promote high-performance standards.
  • Establish efficient administrative systems, procedures, and protocols.
  • Manage schedules, travel arrangements, and event coordination.
  • Build strong working relationships across university departments.
  • Represent the President’s Office with professionalism in all interactions.
  • Facilitate timely and accurate flow of information.
  • Handle sensitive and confidential information with the utmost discretion.
  • Maintain a high level of integrity and accountability in all responsibilities.

Job Requirements

Qualifications & Requirements:

  • Bachelor’s degree in business administration, management, or a related field.
  • 8 - 15 years of professional experience, including at least 5 years in a senior administrative/management role.
  • Proven track record of managing executive offices, preferably in higher education, corporate leadership, or governmental institutions.
  • Excellent communication and interpersonal abilities.
  • Fluency in English (spoken and written); proficiency in Arabic is an asset.
  • High proficiency in Microsoft Office Suite and office management tools.
  • Advanced organizational and multitasking skills.
  • Ability to work under pressure, prioritize tasks, and meet tight deadlines.
