About us

We are a fast-growing, artist-led company specializing in art logistics. We work closely with galleries, Art fairs, and institutions across Europe and beyond, ensuring seamless art Logistics, transport, and documentation. 

Role Overview

We are looking for a Communications/Admin Assistant that has the knowledge of import/export to support our team in managing day-to-day email communication, coordinating with clients, and keeping our operations flowing efficiently. You will be the first point of contact for many of our gallery partners and play a key role in ensuring timely, well-written replies and follow-ups.

Key Responsibilities

Manage main inbox: sort, flag, and respond to emails in a timely and professional manner.

Draft and send clear, friendly, and precise email replies (in English, and optionally French).

Maintain communication logs and follow-up schedules for client inquiries, quotes, and projects.

Prepare basic documents: price lists, service proposals, delivery confirmations, etc.

Liaise with subcontractors and team members for coordination and scheduling.

Support the director in admin and communication-related tasks.

Ensure consistent tone and presentation aligned with STIL’s brand (warm, professional, reliable).

Job Requirements

 

Excellent written communication skills in English (French a strong plus).

Strong organizational skills and attention to detail.

Previous experience in administrative, customer service, or communication roles.

Ability to work independently, prioritize tasks, and handle multiple threads at once.

Confidence using Gmail, Google Docs, Google sheets and basic file organization tools.

Interest in the art world, logistics, or creative industries is a plus.

Nice-to-Have

French or German language skills.
