Job Description
The Proposal Writer Specialist will be responsible for producing persuasive, client-focused proposals and presentations that drive new business wins, while supporting back-office processes and maintaining accurate records to support Business Development operations.
Proposal Development
- Seek out, evaluate, and respond to relevant Requests for Proposal (RFPs).
- Leverage AI tools to analyze and interpret complex solicitation documents, including Requests for Proposals (RFPs), Requests for Information (RFIs), and other government procurement documents.
- Utilize generative AI to draft, refine and optimize proposal sections (executive summaries, technical approaches, pricing models, timelines)
- Maintain a centralized library of templates, case studies, and reusable content
Content Management
- Use AI writing assistants to create clear, concise, and persuasive content for proposals, including executive summaries, technical approaches, solution descriptions, implementation plans, pricing, and other relevant sections.
- Organize and update proposal templates, standard text modules, and case studies
- Ensure version control and accessibility of all back-office documentation
- Audit content quality and compliance before each submission.
- Implement improvements based on win/loss feedback.
Cross-Functional Coordination
- Coordinate with different stakeholders to gather proposals inputs (pricing, technical specs, contractual terms).
- Schedule and manage internal review cycles, consolidating feedback into final drafts.
- Monitor proposal milestones and submission deadlines.
CRM & Reporting
- Update and maintain BD pipeline data in the CRM system ( Zoho CRM).
- Generate dashboards on lead status, proposal activity, and win/loss analytics.
- Track key metrics to identify bottlenecks and recommend process enhancements.
- Archive closed or inactive opportunities for historical analysis.
Job Requirements
Education: Bachelor’s degree in Business Administration, Marketing, Communications, or a related field
Experience:
- 2–4 years in proposal writing, tender management, or technical/business writing
- Exposure to Business Development processes in B2B/B2U/B2G environments (education-tech preferred)
Skills:
- Exceptional fluent written and verbal English communication
Strong analytical skills - Highly organized with superb attention to detail
- Collaborative mindset with strong stakeholder-management capabilities
