Job Description

The job holder is responsible for managing Business Support function including strategic planning support and follow-up, requests management, secretarial support, administrative support, and correspondences management ensuring efficiency and effectiveness to support the operations of the sector/ deputyship. Key Activities: Manage Vice Governor/ Deputy Governor’s programs, appointments and obligations ensuring time optimization Ensure meeting rooms are available and properly set-up according to Vice Governor/ Deputy Governor’s schedule Attend Vice Governor/ Deputy Governor’s meetings when required, review minutes of meeting, and ensure proper implementation of all discussed areas and actions Manage the issuance of visas for Vice Governor/ Deputy Governor visitors to ensure effective operations’ support while still maintaining cost-effectiveness Ensure proper functioning of office equipment, cleanliness and organization of reception area and offices, and availability of office supplies Manage travel arrangements for Vice Governor/ Deputy Governor ensuring cost-effectiveness in line with policies and procedures Manage conferences and events related to sector/ deputyship in coordination with concerned internal and external stakeholders Manage sector/ deputyship incoming and outgoing correspondences and courier packages including its recording in a central repository and distribution ensuring timeliness and confidentiality Inspire the team and provide guidance, delegation and mentorship in order to create a performance-driven culture Ensure availability and qualification of team through recruitment, training, development, and performance management Take actions to enhance employee engagement and motivation Provide clear top-down communication to employees and bottom-up feedback to senior management Ensure proper implementation of ZATCA’s approved operational plans and support internal sector/deputyship in identifying and resolving challenges in collaboration with relevant internal stakeholders Manage the implementation of cross-organizational activities and initiatives ensuring sector/deputyship’s adherence and compliance to organizational mandates and resolve discrepancies when needed Ensure proper implementation of project management activities in sector/ deputyship including the identification of required resources and budget and the development of status update reports Knowledge and Experience :10 years of relevant experience with an optimal4 years of experience in a managerial level Education and Certifications :Bachelor’s degree in Business Administration, or equivalent is required
