Job Description
- Manage the Finance Director's calendar, schedule appointments, and coordinate meetings and travel arrangements.
- Prepare and distribute agendas, minutes, and other relevant documents for meetings and ensure timely follow-up on action items.
- Handle incoming and outgoing correspondence, including emails, letters, and phone calls, and respond or redirect them as appropriate.
- Maintain an organized filing system, both physical and electronic, for documents, reports, and other financial records.
- Assist in preparing presentations, reports, and financial statements as required.
Coordinate and schedule interdepartmental meetings, ensuring effective communication and collaboration among teams. - Maintain confidentiality of sensitive information and exercise discretion while handling confidential matters.
- Track and monitor deadlines, ensuring timely submission of financial reports and documentation.
- Assist in organizing and maintaining the finance department's records, including contracts, invoices, and receipts.
- Provide general administrative support to the finance department, including handling expense reimbursements, processing invoices, and managing office supplies.
Job Requirements
- Proven work experience as a Secretary or Administrative Assistant
- Familiarity with office organization and optimization techniques
- A high degree of multi-tasking and time management capability
- Excellent written and verbal communication skills
- Integrity and professionalism
- Proficiency in MS Office
- High school diploma
