Job Summary:The Administrative Secretary is responsible for providing high-level administrative support to ensure efficient operation of the office. This role involves handling confidential information, managing schedules, and ensuring effective communication within the organization. Preference will be given to candidates with experience in engineering companies or an engineering background.
Key Responsibilities:
- - Administrative Support
Manage and maintain executives' schedules, including organizing meetings, appointments, and travel arrangements.
Prepare correspondence, reports, and presentations as required.
Maintain and organize office files, records, and documentation.
- - Communication Management:
Answer and direct phone calls and emails to the appropriate parties.
Act as the first point of contact for clients, visitors, and staff, ensuring professionalism and efficiency.
Relay messages and correspondence accurately and promptly.
- Office Coordination:
Oversee office supplies inventory and place orders as needed.
Coordinate office maintenance and liaise with service providers for repairs and services.
Organize and maintain meeting rooms, ensuring they are well-equipped for presentations and discussions.
- - Event and Meeting Coordination:
Schedule, coordinate, and prepare materials for meetings, conferences, and other events.
Take and distribute minutes of meetings.
Follow up on action items to ensure completion.
- - Confidentiality and Compliance:
Handle sensitive and confidential information with integrity.
Ensure compliance with organizational policies and procedures.
Job Requirements
Qualifications and Skills:
Bachelor’s degree in Business Administration, Secretarial Studies, or a related field is preferred.
Proven experience as an Administrative Secretary or in a similar role, with a preference for experience in engineering companies or roles involving engineering knowledge.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational and time-management skills.
Fluent In English
Ability to multitask and work effectively under pressure.
High level of discretion and professionalism.
Work Environment:
Office-based role with occasional requirements to work beyond regular hours during events or deadlines.
