Job Description
You will work together with 3 other colleagues. An overview of most of the tasks:
- Making up boatlist, consumptionlist, transferlists & paymentlists.
- Answering all incoming calls in a friendly and efficient manner.
- Provide guests and/or tourleaders with the requested information if needed.
- Take reservations via telephone and obtain the necessary information from the guests and book them on the chosen excursion date. If we are fully booked on this day, try to move them to another day in consultation with the tourleaders and/or guests.
- Confirm bookings and put them in our system.
- Checking vouchers of the guests on correctness.
- Weekly overview of the sales + monthly invoice for the company.
- Draw up inventories & keep them up to date. Inventories of for example all dive equipment, sweatshirst, polos, T-shirts, logbooks, Padi Materials, etc. & order the items run out of stock.
- Number tanks & other dive equipment if needed.
- Make up special offers.
- Type out staff meetings.
- Make up invoices for group bookings & diving safaris.
- Prepare the paperwork needed for diving safaris.
- Keep up to date an overview of bookings and our guest database.
- After return of the boat: checking 2nd page of boatlist for the things needed on board on the next day, write down the equipment to be fixed, check the payments of this day and complete the paymentlist for the next day.
- Later on design advertising in photoshop.
- Later on answering incoming emails and sending confirmations.
- Later on be reponsible for advertising on Facebook, Instagram, YouTube, Google
Job Requirements
- You should have previous administrative experience.
- You will possess good administration skills and will be competent in using basic computer software (Outlook, Excel, Word, … ).
- A confident team player with self-organization, willing to take responsibilities, able to work independently, flexible to job development and a flexible approach to a work environment.
