Job Purpose:

We are hiring Guest Relation Officer to be responsible for providing excellent first impression we make as patients come to hospital clinics. Greeting patients, collecting their information, answering any questions, scheduling appointments, and verifying insurance information. Overseeing and executing everyday administrative tasks to ensure that the medical office runs smoothly and successfully. Undertaking all receptionist and clerical duties at the desk of our main entrance. She/he will play an important role in ensuring patient satisfaction and smooth communication between patients, their families, and the healthcare staff.

Responsibilities:

  • Greeting and assist patients, families, and visitors as they enter the hospital.
  • Developing and maintaining a welcoming and comfortable environment in the hospital.
  • Coordinating with various departments to ensure the smooth operations and patient satisfaction
  • Addressing and resolving complaints or concerns efficiently and courteously.
  • Providing information about facilities, programs and other services.
  • Providing a clear communication between patients, visitors, and hospital staff.
  • Assisting with patient admissions and discharges.
  • Professionally handle phone calls, emails, inquiries, promptly providing accurate information, and in-person inquiries
  • Communicating with patients to set up and schedule optimal appointment times
  • Gathering and tracking medical information from patients 
  • Providing detailed information about hospital services, facilities, and procedures
  • Inquiring and processing patients’ health insurance 
  • Supporting office with administrative and secretarial tasks 
  • Communicating with internal office team and providers to ensure patients are helped and everyday tasks are accomplished 
  • Preparing monthly management reports on customer feedback, bookings, and cancellations.
  • Overseeing the entire patient Service operation to maintain high services standards
  • Conducting pre-shift meeting with staff and review all information relevant to the day's business.
  • Handling overbooked or “walked” patients to ensure meeting the patients’ expectations and ensure maximize clinics’ occupancy.

Job Requirements

  • Bachelor's degree in Business Administration, general education degree or a related field preferred.
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular).
  • Medical Background is an advance.
  • Strong knowledge of Medical expressions and health insurance plans.
  • Strong written and verbal communication skills.
  • Experience with office machines (e.g. fax machines and printers)
  • Familiarity with email scheduling tools, like Email Scheduler and Boomerang
  • Efficiently allocate time to tasks and prioritize responsibilities to meet deadlines
  • Ability to maintain confidentiality and handle sensitive information
  • Flexibility to work in shifts, including evenings, weekends, and holidays.
  • Patient Management Systems experience is preferred

  • Familiar with all the Office Administration responsibilities, systems and procedures
  • Managing Multi- tasks and activities with little or no guidance

  • Fluent in German & Excellent English languages (speaking and writing)
