Position Overview:
As an Executive Assistant at BORDEAUX Architects and Planners, you will play a critical role in supporting the CEO and helping manage multiple high-profile projects. You will be responsible for organizing schedules, coordinating meetings, handling communications, and assisting with both administrative and business-related tasks. This role is key to optimizing the CEO’s time and ensuring that the firm’s operations run efficiently.
Key Responsibilities:
Executive Support:
- Manage the CEO’s calendar, scheduling appointments, meetings, and travel arrangements.
- Assist in preparing meeting agendas, taking notes, and ensuring follow-up on action items.
- Draft and review correspondence, presentations, and other business documents for the CEO.
- Communication:
- Serve as the main point of contact for the CEO, liaising with clients, contractors, and other team members.
- Answer phone calls and emails, redirecting or escalating as necessary.
- Maintain professional communication and foster strong relationships with internal and external stakeholders.
- Project and Task Management:
- Help track key project milestones, deadlines, and deliverables.
- Organize and file project-related documents and contracts, ensuring timely accessibility.
- Assist with financial documentation, expense tracking, and budgeting support.
- Client Interaction:
- Coordinate and organize meetings with clients, ensuring the CEO’s availability and preparing necessary materials.
- Follow up with clients for feedback, ensuring the smooth flow of communication and project updates.
- Event and Travel Coordination:
- Arrange and organize business events, conferences, and client meetings.
- Coordinate travel, including flights, accommodations, and itineraries for business trips.
- General Office Support:
- Manage the firm’s office supplies and vendor relationships.
- Organize and maintain filing systems, both electronic and paper-based.
- Support the preparation of reports and presentations for the CEO’s review.
Job Requirements
Required Qualifications:
Experience:
- Proven experience as an Executive Assistant, Personal Assistant, or similar administrative role.
- Experience in an architectural or creative environment is preferred but not mandatory.
- Skills:
- Strong proficiency in MS Excel, MS PowerPoint, and log sheets for reporting and tracking purposes.
- Excellent organizational, multitasking, and time management skills.
- Professional communication skills, both written and verbal.
- Detail-oriented and proactive in handling multiple tasks and deadlines.
- Personal Qualities:
- Strong interpersonal skills and the ability to manage relationships with clients and staff effectively.
- Discretion and ability to handle confidential information.
- Self-motivated, able to work independently and take initiative in solving problems.
- Ability to adapt to a fast-paced, dynamic work environment.
