Job Description

  1. Coordinate the direct manager`s calendar, including scheduling and prioritizing appointments, meetings, and travel arrangements.
  2. Act as a liaison between the business consultant and the heads of departments.
  3. Proactively manage conflicts and changes in the schedule, ensuring optimal time management.
  4. Provide timely reminders and updates regarding upcoming meetings or deadlines.
  5. Prepare and edit documents, reports, and presentations for the direct manager.
  6. Manage and organize emails, correspondence, and other forms of communication.
  7. Handle phone calls and inquiries, screening and redirecting them when necessary.
  8. Maintain files, records, and databases, ensuring accuracy and confidentiality.
  9. Arrange and coordinate meetings, including booking venues, sending invitations, and preparing necessary materials.
  10. Attend meetings and take minutes, documenting action items and following up on outstanding tasks.
  11. Prepare agendas and briefing materials, ensuring the direct manager is well-prepared for meetings.
  12. Conduct research on various topics, gathering data and information to support the direct manager's projects and presentations.
  13. Analyze data, prepare summaries, and present findings in a clear and concise manner.
  14. Stay updated with industry trends, news, and relevant information to assist the direct manager in making informed decisions.
  15. Make travel arrangements, including booking flights, accommodations, transportation, and visas.
  16. Prepare detailed itineraries and ensure all travel logistics are well-organized.
  17. Track and manage expenses, process reimbursements, and maintain accurate records.
  18. Handle sensitive and confidential information with the utmost discretion.
  19. Maintain a high level of professionalism when interacting with clients, colleagues, and stakeholders.
  20. Represent the direct manager or consulting team in a professional and courteous manner.

Job Requirements

  • Bachelor's degree in business administration or a related field (preferred).
  • Marketing background will be preferred 
  • Proven experience from 2–5 years as an executive assistant, personal assistant, or similar role, preferably in a consulting or professional services environment.
  • Nasr City/Heliopolis residents or any nearby location will be preferred.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication skills, both written and verbal.
  • Proficient in using productivity tools such as Microsoft Office Suite or Google Workspace.
  • Attention to detail and a high level of accuracy in all work.
  • Ability to handle multiple projects and tasks simultaneously.
  • Discretion and confidentiality in dealing with sensitive information.
