Job Description:
We are looking for a motivated Operations Assistant to join our dynamic team. This role involves supporting the operational workflow for our digital publishing platform, providing administrative assistance, and coordinating tasks. As an Operations Assistant, you'll play a key role in ensuring our book uploads, digitization processes, and general operations run efficiently.
Key Responsibilities:
- Book Uploads and Administrative Tasks: Manage and assist with the uploading of books (print, eBooks, and audiobooks) to the platform, ensuring accuracy and adherence to company standards.
- File and Document Management: Organize and maintain digital files (EPUBs, contracts, reports) across cloud platforms to ensure easy access for all team members.
- Team Coordination: Schedule and organize meetings, manage calendars, and assist with team coordination, both for in-office and remote team members.
- Remote Task Management: Track tasks using workflow management tools (e.g., Asana, Trello), ensuring projects stay on schedule.
- Data Entry & Reporting: Input data and assist with generating reports related to sales, book uploads, and operational performance.
Job Requirements
Qualifications:
Required:
- Strong organizational skills with high attention to detail.
- Experience in handling administrative tasks.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs and Sheets) , and basic cloud platforms like Google Drive.
- Strong communication skills for both internal and external stakeholders.
- Ability to manage multiple tasks and deadlines in a fast-paced environment.
- Continuous learning mindset and adaptability to remote or hybrid working models.
Preferred:
- Familiarity with project management tools (e.g., Asana, Trello).
- Experience working in a hybrid (remote/in-office) environment.
- Basic understanding of the digital publishing or print-on-demand industry.
- Knowledge of book metadata management: Understanding of metadata structure and best practices for organizing book data such as titles, author details, genres, ISBNs, and keywords for digital catalogs.
