Job Description
- Manage the executive office to ensure all operations are efficient and effective.
- Maintain a professional and organized work environment.
- Serve as the primary point of contact for all matters related to the executive office.
- Oversee the daily calendar of the executive office and coordinate meetings and events.
- Attend meetings on behalf of the executive office as needed.
- Write and distribute comprehensive meeting minutes and action plans to all members after meetings, and follow up on action items.
- Manage and ensure all expenditures remain within budget.
- Coordinate travel arrangements for members of the executive office.
- Ensure that all documents and records of the executive office are properly maintained, secure, and confidential.
- Act as a liaison between the executive office and other departments.
- Assist in preparing presentations, reports, and other documents.
- Support developing and implementing strategies and policies for the executive office.
- Handle and prioritize all incoming and outgoing correspondence, including emails, letters, and packages.
- Organize event arrangements and preparations as necessary.
- Maintain electronic and paper records, ensuring information is organized and easily accessible.
- Manage petty cash for office errands, bill payments, rent payments, etc.
- Coordinate the arrangement and distribution of seasonal gifts for Board Members.
Job Requirements
- Bachelor's degree in business administration or a related field.
- At least 10 years of experience in executive office management.
- Strong organizational and time management skills.
- Excellent communication and customer service abilities.
- Proficient in Microsoft Office and other office management software.
- Capable of maintaining confidentiality regarding sensitive information.
