Job Description

Calendar Management:

  • Manage the C-Level calendar, prioritise appointments, and handle communications (calls, messages, emails).
  • Interpret requests and implement actions accordingly.

Secretarial Services:

  • Provide comprehensive secretarial support, drafting non-routine letters, memos, and reports.
  • Ensure familiarity with organisational policies and procedures.

Meeting Coordination:

  • Prepare and circulate minutes of meetings, following up on action items.
  • Create special reports and summaries as needed.

Logistics Coordination:

  • Schedule appointments, coordinate travel, and manage logistics for the C-Level.
  • Inform the C-Level of urgent matters during absences.

Presentation Support:

  • Assist in preparing presentations and correspondence related to office activities.

Document Management:

  • Coordinate document signing and tracking, ensuring proper distribution of memos and reports.

Record Maintenance:

  • Maintain accurate records and files, ensuring all office facilities are operational.

Office Operations:

  • Organise office procedures and correspondence, designing efficient filing systems.
  • Plan and implement office layouts and equipment procurement.

Data Security:

  • Ensure the confidentiality and security of all data and documents.

Reception Duties:

  • Greet senior personnel and respond to inquiries from management, employees, and the public.
  • Provide courteous and informed responses to phone inquiries.

Job Requirements

  • Bachelor's Degree
  • Minimum of 2 years’ experience in a similar role
  • Be a problem solver and solutions-oriented
  • Strong communication and stakeholder management skills
  • Proficiency in MS Office
  • Ability to multitask and prioritise workload.
  • Time management skills and experience in managing a high-volume workload and meeting competing priorities.
  • Team work
