Job Description
Documentation Management:
- Prepare, review, and process all necessary export documentation, including commercial invoices, packing lists, certificates of origin, bills of lading, shipper's export declarations (SEDs), and any other documents required by customs or specific countries.
- Ensure all documentation is accurate, complete, and compliant with international trade regulations and company policies.
- Maintain organized records of all export transactions and related documents.
Logistics Coordination:
- Liaise with freight forwarders, carriers, and customs brokers to arrange and monitor international shipments.
- Obtain freight quotes, negotiate rates, and select the most efficient and cost-effective shipping methods.
- Track shipments from origin to destination, proactively addressing any delays or issues.
- Coordinate with internal departments (e.g., sales, warehouse, finance) to ensure timely order fulfillment and shipment readiness.
Compliance and Regulations:
- Ensure full compliance with all applicable export laws, regulations, and trade agreements (e.g., Incoterms, customs regulations, sanctions, export controls).
- Stay updated on changes in international trade regulations and advise management accordingly.
- Assist in obtaining necessary export licenses or permits.
- Manage and resolve any customs-related issues or inquiries.
Customer Service & Communication:
- Serve as a key point of contact for international customers regarding shipment status, documentation, and any export-related queries.
- Provide excellent customer service and maintain strong relationships with international clients and partners.
- Communicate effectively with all stakeholders, both internal and external.
Process Improvement:
- Identify opportunities to improve export processes, reduce costs, and enhance efficiency.
- Contribute to the development and implementation of export policies and procedures.
Reporting:
- Prepare and analyze export-related reports as required by management.
Job Requirements
- Bachelor's degree in International Business, Logistics, Supply Chain Management, or a related field.
- 3-5 years of direct experience in export operations and international logistics.
- Strong understanding of export documentation, customs procedures, Incoterms, and international trade regulations.
- Proficiency in using export management software and MS Office Suite (Word, Excel, Outlook).
- Excellent organizational and time-management skills with a strong attention to detail.
- Ability to multitask and work effectively under pressure in a fast-paced environment.
- Strong analytical and problem-solving abilities.
- Excellent written and verbal communication skills in English.
- Ability to work independently and as part of a team.
Preferred Qualifications:
- Professional certification in customs brokerage or international trade (e.g., CUSECO, Certified Export Specialist).
- Experience with specific ERP systems (e.g., SAP, Oracle).
- Knowledge of specific industry regulations (if applicable).
- Experience in handling letters of credit and other international payment methods.
