Job Description

Administrative Duties (30% of actual job time):

  • Act as the point of contact between the executives and internal/external clients.
  • Provide general support to visitors
  • Handle requests and queries appropriately.
  • Maintain diary, arrange meetings and appointments and provide reminders.
  • Make travel arrangements.
  • Plan in-house or off-site activities, like parties, celebrations and conferences.
  • Organize office layout and order stationery and equipment
  • Partner with HR to update and maintain office policies as necessary.
  • Manage office G&A budget, ensure accurate and timely reporting.
  • Produce reports, presentations and briefs.
  • Monitor office supplies and research advantageous deals or suppliers.

Commercial & Analytics Duties (70% of actual job time):

  • Get involved in sales analysis and prepare periodic reports on company performance.
  • Participate in budgeting process cycles & provide input when necessary.
  • Coordinate with other departments to keep track of business trends, contracts, etc.…

Job Requirements

  • Experience as an Executive Administrative Assistant or in other secretarial position.
  • Comprehension of office management systems and procedures.
  • Good Knowledge of MS office modules (Outlook, Power Point, Word & Excel) & computer knowledge in general.
  • Proficiency in English is a must have (daily interactions with foreign nationals).
  • Discretion and confidentiality.
  • Email etiquette familiarity.
