Job Description

We are a design studio and on the lookout for a Personal Assistant/Secretary who embodies energy, intelligence, and problem-solving skills. This role involves supporting our head architect with a unique mix of business and personal tasks. The ideal candidate will adeptly handle day-to-day planning in alignment with our annual goals, manage both business and personal errands with efficiency, and serve as a pivotal communication link within our team.

Your responsibilities will extend to engaging with potential clients, managing communications on platforms like WhatsApp, and ensuring follow-ups on pending tasks. A flair for planning, a strong grasp of digital tools like Excel, and absolute proficiency in English are vital. We value a candidate who can think on their feet, propose fresh ideas, and contribute more than just task execution.

Experience levels are open, welcoming diverse backgrounds. The role is mostly in-office, offering a hybrid working option between office and home when possible. You will be closely working with our head architect.

Job Requirements

Key Responsibilities include:

  1. Day Planning: Organize and prioritize daily tasks based on an overarching annual plan.
  2. Task Delegation and Errands: Efficiently manage business and personal errands, delegating tasks where appropriate.
  3. Communication Hub: Act as a central point of contact within the studio, facilitating clear communication between the CEO and all parties.
  4. Client Engagement: Manage WhatsApp messages and outreach to potential clients, fostering positive relationships.
  5. Task Follow-Up: Maintain a vigilant approach to pending tasks, providing reminders and updates to ensure completion.

Skills and Qualifications include:

  • Exceptional planning and organizational abilities, with proficiency in Excel and digital planning tools.
  • Excellent command of the English language, both written and verbal.
  • Strong ability to propose innovative solutions and ideas, not just execute tasks.
  • Outstanding communication skills.
