Job Description
- Lead and supervise the Document Control team to ensure effective management of project documentation across the Technical Office and Contracts departments.
- Establish and implement document control procedures, policies, and best practices for document management.
- Coordinate with internal and external stakeholders to ensure timely submission, review, approval, and distribution of project documents.
- Organize, categorize, and maintain project documents, drawings, contracts, and other technical documents in a centralized system.
- Ensure that all documents and records are correctly logged, indexed, and filed according to project requirements and company standards.
- Track the status of documents and maintain an up-to-date record of document versions and revisions.
- Collaborate with project managers, engineers, and contract specialists to ensure the accurate handling of project documents.
- Ensure that the document control system is accessible to authorized personnel and that security protocols are followed.
- Provide training and support to junior document controllers and other project team members on document management systems.
- Conduct regular audits of document control procedures and systems to ensure compliance with organizational standards and client requirements.
- Prepare reports related to document control activities, document flow, and compliance for senior management.
- Manage the document control database and systems, ensuring they are up-to-date and functional.
- Handle the coordination of external documents with suppliers, consultants, and contractors, ensuring proper documentation flow.
- Provide leadership in resolving document-related issues and queries, acting as a point of contact for document control queries.
Job Requirements
- Proven work experience as a team leader or supervisor
- In-depth knowledge of performance metrics
- Good PC skills, especially MS Excel
- Excellent communication and leadership skills
- Organizational and time-management skills
- Decision-making skills
- Bachelor's degree in Business Administration, or a related field.
- Experience working with Technical Office teams, contract administration, and project documentation in a construction or engineering environment.
- Strong leadership, coaching, and mentoring skills.
