Job Description

Key Responsibilities:

Calendar Management: Coordinate and manage complex calendars, scheduling meetings, appointments, and travel arrangements. Prioritize and resolve scheduling conflicts as they arise.

Communication: Screen and manage phone calls, emails, and other correspondence. Draft, proofread, and edit documents, presentations, and reports.

Meeting Coordination: Prepare agendas, meeting materials, and minutes for executive meetings. Arrange logistics for meetings, including venue setup, audio-visual equipment, and catering as needed.

Project Management: Assist in the planning and execution of special projects and initiatives. Track progress and provide regular updates to the executive team.

Office Management: Maintain office supplies and equipment, ensuring a well-organized workspace. Coordinate with other departments and external vendors as necessary. 

Confidentiality: Handle sensitive information with the utmost discretion and confidentiality. Ensure compliance with company policies and procedures.

Job Requirements

  • Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • Experience: Minimum of 2 years of experience as an Executive Assistant or in a similar role.
  • Exceptional organizational and time-management skills.
  • Strong ENGLISH verbal and written communication abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Ability to work independently and as part of a team.
  • High level of professionalism and discretion.
  • Proactive and resourceful problem-solver.
  • Detail-oriented with a strong sense of urgency.
  • Ability to adapt to changing priorities and work under pressure.
