Job Description

Job Summary:

We are seeking a detail-oriented and proactive Admin Officer to support daily administrative operations. The ideal candidate will handle travel and visa arrangements, manage employee documentation, organize meetings and interviews, oversee office supplies and maintenance, and prepare administrative reports. Strong English communication skills are essential.

Key Responsibilities:

Scheduling & Coordination

Organize and schedule meetings, interviews, and internal events

Coordinate interview logistics between candidates and hiring managers

Ensure meeting rooms are prepared and equipment is functional

Travel & Visa Management

Arrange flights, accommodation, and local transportation for employees

Handle visa applications, renewals, and necessary travel documents

Track travel itineraries and provide assistance during business trips

Employee Documentation

Maintain employee files (passports, IDs, contracts, and related records)

Track expiration dates and ensure timely renewals

Support new hire onboarding and leaver clearance processes

Office Supplies & Inventory

Monitor stock levels of office supplies and place orders as needed

Liaise with vendors and follow up on delivery and quality

Keep records of purchases and usage

Maintenance & Facility Management

Report and follow up on maintenance issues

Coordinate with external service providers for repairs and services

Ensure the workplace is clean, safe, and well-maintained

Reporting

Prepare regular reports on administrative activities, travel, and expenses

Maintain accurate logs and documentation for audits and reviews

Job Requirements

Bachelor’s degree in Business Administration or a related field

2–3 years of experience in an administrative or office coordination role

Excellent command of written and spoken English

Strong organizational and time management skills

Proficient in Microsoft Office (Word, Excel, Outlook)

Detail-oriented, professional, and reliable

Maximum age: 35 years
