Job Description

  • Conserves employer’s time by reading, researching, and routing correspondence; drafting emails and documents; collecting and analyzing information; and initiating telecommunications.
  • Manage the employer's calendar and appointment schedule by planning and scheduling meetings, conferences, teleconferences
  • Record notes and messages for the employer
  • Answer phone calls received and direct them appropriately
  • Manage travel arrangements and itineraries on behalf of the employer
  • Perform as a liaison between the employer and staff as required
  • Act as the first point of contact for the employer as necessary
  • Welcomes guests and customers by greeting them, in person or on the telephone, and answering or directing inquiries.
  • Prepares reports by collecting and analyzing information.
  • Represents the employer by attending meetings in the employer’s absence
  • Completes projects by assigning work to staff and following up on results.
  • Provides historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions/meeting minutes.
  • Maintains professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.
  • Contributes to team effort by accomplishing related results as needed.

Job Requirements

  • Bachelor’s degree
  • Excellent command of English Language (Written & Spoken)
  • Excellent verbal and written communication skills
  • Five to seven years of administrative experience
  • Three to five years of personal assistant experience
  • Public relations background
  • Experience managing multiple calendars
  • Experience booking travel
  • Proficient in computer technology especially Microsoft Office applications
  • Ability to learn concepts and processes quickly
  • Strong customer service and social skills
  • Exceptional organizational and time-management skills
  • Follows instructions clearly and accurately within a timely fashion
  • Proactive and enthusiastic about delivering positive results
  • Able to sit, walk, stand for long hours at a time
  • Multitasking
