Job Description
We are seeking a highly motivated and skilled Receptionist to join our team. The receptionist will be responsible for handling incoming calls, providing information about the PLAB Course, organizing study groups, managing candidate spreadsheets, coordinating payments, directing candidates to study rooms, and assisting with mock exams. The ideal candidate should have previous receptionist experience, excellent English language skills, strong computer skills, and exceptional organizational abilities. Responsibilities:
- Greet and welcome visitors, candidates, and staff in a professional and friendly manner.
- Answer incoming calls and provide accurate information about the PLAB Course, including course details, schedules, and prerequisites.
- Organize and coordinate study groups for candidates, ensuring optimal participation and efficiency.
- Create and maintain spreadsheets of different candidate groups, tracking their progress, attendance, and other relevant data.
- Assist candidates with payment arrangements, including collecting fees, issuing receipts, and ensuring accurate records.
- Direct candidates to their respective study rooms and provide any necessary assistance during their preparation.
- Collaborate with the exam team to help facilitate mock exams, including scheduling, room preparation, and candidate coordination.
- Maintain an organized reception area, ensuring cleanliness and orderliness at all times.
- Provide general administrative support to the team as needed, including data entry, filing, and document management.
- Order front office supplies and keep inventory of stock
- Update calendars and schedule meetings
- Arrange travel and accommodations, and prepare vouchers
- Keep updated records of office expenses and costs
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
Job Requirements
- Bachelor's degree or equivalent qualification.
- Proven experience as a receptionist or in a similar customer-facing role. Excellent command of the English language, both verbal and written.
- Proficient computer skills, including MS Office (Word, Excel, PowerPoint), email management, and internet navigation.
- Strong organizational skills with the ability to multitask and prioritize effectively.
